Captivate Screenshot Guide

Follow these steps to get a high-quality screenshot that will fit on a variety of screen sizes.

Set up your Screen

Before taking a screenshot, set your display to a size that will fit on smaller screens:

  1. Right click on the desktop and pick Display Settings,
  2. Set Display Resolution to 1280 x 720,
  3. If you are asked if you want to keep changes/settings, click Yes.
  4. Right click on the taskbar and pick Taskbar Settings,
  5. (With Windows 11, click Taskbar Behaviors)
  6. Check “Automatically hide the taskbar”.
  7. Open the program or website to screenshot,
  8. Maximize it so it fills the whole screen,
  9. If you’re taking a screenshot of a web app, zoom in or out so it fits the window.

Use Window’s Snipping Tool to take the screenshot:

  1. Press Windows Key + Shift + S,
  2. From the Snipping Mode dropdown, pick Window. (If it doesn’t capture everything, try Full Screen; to capture a smaller area of the screen, use Rectangle.)
  3. Click on the window you want to screenshot.
  4. Click on the Notification that appears.
  5. If you are satisfied with your screenshot, click the Save As button, choose where to save the PNG image file, enter a File Name, and click Save.
  6. Close the Snipping Tool.

Edit the Screenshot (optional)

In Windows 11, you can use the Snipping Tool to make simple edits like adding callouts or erasing sensitive information. With Windows 10, you can use Microsoft Paint:

  1. Find the image file that you saved, right click it, and pick Open With, then Paint.
  2. Use Shapes to draw callouts such as Rectangles or Arrows. Select Colors and set Outline, Fill, and border Size as desired.
  3. When done, click Save.  
  4. Close Paint.

Insert into Captivate

Insert the screenshot into Captivate as an image block:

  1. In Captivate, duplicate or insert a new slide.
  2. Click Add Media Block, and then Image.
  3. Uncheck any components you don’t want, such as Caption and Subtitle.
  4. Click the center of the image and pick System,
  5. Find the image file you saved and click Open.
  6. Click on the Image and set Display to Fit.
  7. Drag the bottom border of the image down so that it almost fills the slide,
  8. In Alignment and Spacing, check Autofit Height.
  9. Set the Image Responsive Behavior to Fixed Height.
  10. In the Accessibility panel, enter Accessibility Text that concisely communicates the key information in the image. If text on the screen (outside the image) already communicates what is in the image, turn on “Hide from screen reader”.  

Add Text above the Image (optional)

If you want to include text above the image:

  1. Click Add Text Block, then Paragraph,
  2. Uncheck any components you don’t want, such as Body.
  3. Drag the image below the text component.
  4. Click on and enter the desired text.
  5. Set the Appearance as desired (e.g., Heading 6).
  6. Adjust the Alignment and Spacing (e.g. Horizontal Padding 5%, Vertical Padding 20px, etc.).
  7. Select the Image (if you get the screenshot itself, click the “«” arrows),
  8. In Alignment and Spacing, uncheck Autofit Height,
  9. Drag the bottom border of the image up so that it almost fills the slide,
  10. Re-check Autofit Height.
